Have you ever been asked to take a group of students on a mission trip and then froze in your tracks? The anxiety over the amount of work required to plan, implement, and engage suddenly overwhelming you? Heck, maybe it's your first time doing this, and your palms are sweaty just trying to figure out where to start!
I know all too well the difficulties of these types of trips. Early on in my career, we would take three-ring binders filled with every bit of information on our destination, driving directions, insurance information, and kids emergency contact numbers. You name it, the binder was filled with it. The memory of lugging that through airports and vehicles is exhausting me even now.
What if I told you that we created a way to keep all that information close at hand in a digital format? What if I told you that not only can you carry all of that information on your smartphone, you can give access to key leaders and personnel at home in real-time? What if I told you that the entire resource is free?
Buckle up because that’s just what we did! Introducing the Student Mission Trip Travel Organizer! Designed and developed on the Airtable platform that anyone can use and modify. What’s Airtable, you ask?
Airtable is an online project management software designed to help users collaborate for projects and creative endeavors in real-time. The base system is entirely free to use and collaborate with others.
The Student Mission Trip Travel Organizer is designed to help users gather and store information about those going on trips simultaneously. More than just a spreadsheet, you can connect volunteers to tasks, create to-do's, and link parents and students together without having to create all sorts of complicated formulas. That's right, I did the hard work for you!
Fundraising and expense tracking is even built right into the project spreadsheets. Keeping track of the trip costs, who owes how much, and payment deadlines have never been more manageable. Want to offer a scholarship? That's built-in too! Importing information and exporting to paper (if necessary) is easy too. Predesigned drop-down menus make filling in the status of project tasks easy. Need something else? Simply add your own. Really, the only limit is your imagination. Duplicate the base to start a new trip with information already keyed in. Change those at your leisure, or wipe it all out to begin fresh. The best feature is using this template for all sorts of trips. Mission trips, youth camp, road trips with friends, there's a plethora of functions. Airtable also has a truckload of templates and bases to help you in other projects for yourself or your team. (Shameless plug here!)
I hope this resource helps you and your church discover that going on trips can be so much easier than ever before. I want you to feel excited and supported as you live out the call of Mathew 28, "to go and make disciples." Whether you're just going into your local community, across the states, or into the larger world, I am excited to present you with a resource that makes your planning easier.
